Creating Outlook Surgery Invitations for Dr. Dora

The purpose of this procedure is to ensure all surgeries are correctly scheduled in Dr. Dora’s Outlook calendar with clear, standardized event details. 

 

Task 1: Open Outlook Calendar

      Step 1                Log into the Outlook account.

      Step 2                Navigate to Mail View.

 

Task 2: Create New Appointment 

      Step 1                Navigate to Home on the top bar and select it.

      Step 2                Click New Items.

      Step 3                Select new Appointment/Event (depending on Outlook version).

      Step 4                Enter details as follows:

·       Title: Always use format:

§  Patient Full Name and the surgery type

§  Example: “Anna Smith – Breast Augmentation”

·       Date & Time:

§  Set to surgery date and start time

§  Adjust to actual OT time slot confirmed by hospital

·       Location: Choose only from the two options:

§  Emirates Hospital

§  Highness Clinic

·       Add Attendees: In the Invite Attendees field, always add:

§  Dr. Dora Evangelidou: [email protected]

 

Task 3: Review & Send

  Step 1                Double-check:

·       Patient name spelling

·       Correct surgery type

·       Exact surgery time

·       Correct location (only Emirates Hospital or Highness Clinic

Step 2                Once confirmed, click Send Invitation.

Step 3                Verify with Dr. Dora that the event appears in Dr. Dora’s calendar.

 

NOTES:

  • Title must always follow the exact format: Patient Name and surgery type.

  • Never include additional wording (e.g., “surgery,” “operation”) unless part of the procedure name.

  • Only two locations are valid: Emirates Hospital or Highness Clinic.

  • Always match Outlook invite time with confirmed OT time from hospital.

  • Reception is responsible for accuracy, mistakes cause scheduling conflicts.
